An opportunity has become available at our Head Office in Derby for a Receptionist/ Office Assistant.

Purpose & Objective of Job:

Our busy office on Friar Gate, Derby, requires a full time Receptionist/ Office Assistant to provide telephone and administration assistance. The role will suit a friendly team player who possesses excellent communication skills, both spoken and written. A professional image will be required in attire, reflecting the nature of the Firm, as well an assertive but empathetic demeanour. 

Previous legal experience would be desirable, but is not essential, although experience in a similar field would be advantageous. 

RECEPTIONIST DUTIES 

  • The Receptionist duties include but are not limited to;
  • To promote a warm, courteous, professional manner to all clients whether in person or by telephone communication. 
  • To answer external and internal calls in an efficient manner and transfer them to the relevant department/Solicitor/Fee earner.
  • To greet all clients and direct them to the correct waiting room. 
  • To inform the relevant Solicitor/fee earner that their client has arrived. 
  • To offer clients refreshments on arrival.
  • To handle all enquiries from potential/existing clients that come into reception by communicating with the relevant departments.
  • Ensure the waiting and interview rooms are kept tidy and cups/water bottles are removed immediately.
  • Scanning and photocopying documents brought in by clients that need to be sent to other offices.
  • Handling payments brought in by clients either by card/cash.

OFFICE ASSISTANT DUTIES

  • The Office Assistant duties include but are not limited to;
  • To assist with incoming and external post, and the collection/distribution of the DX mail and the distribution of all.
  • To assist in the printing and posting of the debt recovery mail.
  • Put away refreshment orders in an orderly manner and keep track of supplies. 
  • To ensure the stationary cupboard is kept in an organised tidy manner.
  • Ensure that the coffee machines are replenished and remain clean. 
  • Ensure the drinks refrigerators are always replenished with refreshments. 
  • Replace glasses and cups.
